Responsibilities

1. Reception Responsibilities

  • Welcome and assist visitors, clients, and business partners visiting the company.
  • Operate the company switchboard, receive and direct incoming calls to the appropriate departments.
  • Receive, sort, and distribute incoming mail, parcels, and courier deliveries.
  • Manage meeting room schedules and prepare beverages and meeting facilities.
  • Support the reception and hosting of clients, partners, and guests as required.

2. Administrative Responsibilities

  • Manage office supplies, office equipment, and company assets.
  • Monitor inventory and distribute office supplies to departments as needed.
  • Maintain administrative records and filing systems.
  • Monitor service contracts with vendors, including cleaning, security, internet, drinking water, courier services, and other office-related services.
  • Arrange business travel, including flight bookings, hotel reservations, transportation, and visa applications (when required).
  • Monitor and process administrative expense payments.
  • Coordinate internal events such as company celebrations, employee birthdays, training sessions, conferences, and team-building activities.
  • Ensure the office environment is clean, safe, and well-equipped.
  • Manage the company’s labor union fund (if applicable) and coordinate employee care activities, gifts, and support programs in accordance with company policies.

3. Procurement Responsibilities

  • Receive and process purchase requests from departments in coordination with the IT Support team.
  • Source, evaluate, and select qualified suppliers.
  • Obtain quotations, conduct price comparisons, and recommend the most suitable purchasing options.
  • Prepare purchase orders and monitor delivery schedules.
  • Inspect the quantity and quality of goods upon receipt.
  • Coordinate with the Finance & Accounting team to process supplier payments.
  • Maintain procurement contracts and purchasing documentation.
  • Monitor procurement expenses to ensure compliance with the approved budget.

4. Reporting

  • Prepare periodic procurement reports.
  • Report on office supply consumption and office asset utilization.
  • Prepare monthly administrative expense reports.
  • Perform other reports as assigned by the direct manager.

Requirements

  • Bachelor’s degree or College diploma in Business Administration, Office Administration, Accounting, Economics, or other related disciplines.
  • At least 1–3 years of experience in a similar role.
  • Strong communication and problem-solving skills.
  • Proficient in Microsoft Office applications (Word, Excel, and PowerPoint).
  • Experience in supplier management and price negotiation.
  • Honest, detail-oriented, responsible, and proactive.
  • English communication skills are an advantage.

Authority

  • Recommend and propose suitable suppliers.
  • Suggest improvements to administrative and procurement processes.
  • Recommend repair or replacement of office equipment and facilities when necessary.

 Key Performance Indicators (KPIs)

  • Ensure procurement requests are completed within the required timeline.
  • Optimize procurement costs within the approved budget.
  • Maintain uninterrupted administrative services and sufficient office supply inventory.
  • Achieve high internal stakeholder satisfaction.
  • Ensure administrative and procurement documentation is complete, accurate, and compliant with company regulations.
